Welcome to the online reservations system for the Division of Continuing Studies Central Scheduling! 


What is Central Scheduling?

Central Scheduling provides a consolidated process for reserving DoCS-managed space and fleet vehicles.

How do I create an account?

Use the "My Home" tab and click on the green "Request an Account" button. After you submit the required information, you will receive an email within 24-48 hours regarding your account status. Once approved, you can request space/vehicles by logging in to your account.


What if I forgot my User Id?

Your User Id is your DoCS-issued email address. If you cannot access your account, submit an IT Helpdesk ticket at rutgers.assist.com.

How do I reserve a room or vehicle?

To view what's available or already reserved, use the "Browse" menu options. To request space or a vehicle, use the "Create a Reservation" option. Click the "book now" button for the appropriate reservation template. EMS systematically generates Room Request fields that can be used for both space and vehicle reservations. After you complete the When and Where section, available space/vehicles will be listed under Room Search Results. Click the green "+" icon next to your selection to add your request; you can add multiple bookings on one reservation. Click the blue "Next Step" button to submit optional services for rooms and details for your reservation; click the green "Create Reservation" button. Explicit instructions can be found in the EMS Reservation Guide. An EMS Administrator will review/approve your request and email you a confirmation with a contract.


Is there a fee?

Room Reservations: No fees are charged for DoCS sponsored and managed events held at the LLC. For information regarding other locations, contact the EMS Administrator.


Vehicle Reservations: There are no costs associated with reserving a DoCS fleet vehicle. Staff must have a valid driver's license and a Defensive Driving Course Certificate on file with DoCS HR. Why is there an OSC scheduled?

The On-Site Coordinators (OSCs) are trained on event support to ensure programs run smoothly and space is monitored. Room reservations scheduled before or after standard five-day workweek business hours may require an OSC for locations on campus.


When will I know my reservation has been approved?

Reservations are approved on a first-come, first-served basis. Most requests are confirmed within 48 hours for the LLC, ASB II Lab and vehicles. Requests for other locations are not guaranteed and are typically confirmed two weeks prior to the start of the program. For same day requests, contact the EMS Administrator.


What if I need to change details of my program?

To make edits to your reservation, click on My Events and select the reservation name. Click on the pencil icon to change event details or click the Manage Services tab below the booking. You have the option to add or cancel bookings within your reservation, or cancel the entire reservation under Reservation Tasks. For assistance, email the EMS Administrator listed on your confirmation contract and reference the reservation ID number.


Is catering available?

At the LLC, clients can make their own arrangements for catering (include catering details in your reservation request). Food and drink is not permitted in any computer labs, the LLC Theater (112/114) or the LLC Hi-Tech Classroom (144). Other locations may have catering vendor options and/or requirements, please speak with the EMS Administrator for that location for more information.


NOTES: Currently, we are adhering to the DoCS COVID-19 Policy: Reservations may no longer include food options. The only exception is outside patio seating which has no restrictions. Patio seating has been added to EMS; looking outside from inside the Mission Showcase from right to left, the tables are numbered from 1 – 8.
